Printing On Pre-Printed 1099 Forms

1099Express handles pre-printed forms easily, including Forms 1096, 1098, 1099, 5498, etc. Use the File Menu, then the sub-menu "Print on pre-printed forms". Use forms such the official IRS forms (made for typewriters), or 1099 laser forms from an office supply store or from an internet site such as www.discountTaxForms.com. Pre-printed forms are letter size pages.

To print on Form 1096, click the File Menu, then "Print on Form 1096", while 1099 data is opened into the program.

Pre-Printed forms require EXPENSIVE special-size double-window envelopes. Laser created forms only need standard low cost No. 9 or No. 10 double or single window envelopes. The maximum number of paper forms Copy A that may be submitted to IRS is 250 (per form type). If you have more, the IRS requires they be submitted by e-Filing. If you have less than 250, you can still e-File and avoid pre-printed forms. However you should Avoid Pre-Printed Forms whenever possible.

INDENTS:

Use TOP and LEFT indents to force the print to match your laser printed pages. You can measure the amount to change. Indents are in inches.

FONTS: Fonts for pre-printed forms can't be changed. The font selected is Courier New and is about 12 characters per inch.

1099 Express will print on pre-printed forms only for the current program year. 1099 Express will not print on future or previous years pre-printed forms, due to IRS changes each year to the 1096 transmittal form, and IRS changes to the forms themselves. Thus, it is only possible to file Copy A to the IRS on paper, during the current program year. For example, file to the IRS on pre-printed Copy A using the 1099 Express 2009 tax year program, in early calendar year 2010. Do not use the 2009 program to file on pre-printed Copy A for tax year 2010 or later.

However, you can print ALL past year forms to recipients, with the current year's 1099 Express program, using laser created forms, not pre-printed forms. You must also e-File ALL past year forms to the IRS using the current year's program. This is yet another advantage of using laser created forms.

To create a past years file, set the TAX YEAR in the Company/Filer screen (click the Filer Button, or the Options Menu then Company/Filer  sub-menu). Is is also possible to print past year laser forms with a previous year program, but it is not possible to print pre-printed forms with a previous year's program.
