Copy and Paste From Excel by Header Name for 1042-S


Users who would like to utilize our 'import from Excel' feature, please follow the directions below.

For demonstration purposes, the instructions below will be showing a step-by-step process in opening our pre-made sample file(s) and importing that information into the 1042-S Software.<


Step 1:

- Begin by opening up the Files Manager. This folder can be found at the foot of the PC screen within the Taskbar as a manila folder icon.

- If the Files Manager is not on the Taskbar of your PC, please use the search feature to locate the 1042Express folder located in the Documents section.



Step 2:

-Follow the order of the File Folder 1042Express to the most current year's folder labeled 'T20XX' (XX being the software / Tax year).

-Once in the most current year folder, open the default ExcelFiles folder.



Step 3:

- Within the ExcelFiles folder, there are two sample files pre-downloaded. Either samples can be selected for the headers.

- Proceed by opening one of the Excel Sample files.



Step 4:

- Once the Sample file is opened, review all the headers given. Our program automatically sorts form information based off the header names. These sample Excel spreadsheets are provided so Users may be able to quickly enter their recipient information with the proper headers already populated.

- It would be at this stage that recipient information can be added and the sample data removed.

- To understand and map the headers based on the header name, please review the Source Format page for more details. The ImportSample1.xls should also have further instructions on header names.



Step 5:

- After all the recipient data is entered into the excel spreadsheet. Select the headers (bolded header not the first line in the grid) down to the last line/recipient within the list.

- Once highlighted, right-click and copy all selected data.



Step 6:

- With the data now copied, open up the 1042-S software. Select the first cell in the program's grid and right-click into the cell.

- Select the option 'Paste from Excel by Header Name' to add the data to the grid.



Step 7:

- All recipient data should populate within the grid. As seen below.



Step 8:

- If errors do occur during this process, our program will find it and the User can select the 'List' to see what errors the program picked-up.

- The program will not read every error, please be sure to double check the spreadsheet's information before pasting the information into the 1042-S program.



Step 9:

- After the import is complete be sure to fill out the Withholding Agent information that can be accessed by selecting the Withholding Agent button on the top left of the grid;

or by selecting 'Options' → 'Filer (Company) Information' from the Options drop-down menu.

- Transmitter information can be entered by Users who e-File directly to the IRS FIRE site. This section can be accessed by selecting the Transmitter button on the very bottom left of the grid;

or by selecting the 'Options' → 'Transmitter (Submitter's) Information' from the Options drop-down menu.
