QuickStart & Overview of 1042-S Express Enterprise
After starting 1042-S Express Enterprise
- To preview the format of Form 1042-S on plain paper, select "File" followed by "Print a Test Page." Ensure that the laser printer is ready for use.
- Navigate to the following directory in the File Manager: Documents → 1042Express → T20XX ('XX' being the most current year) → Samples.
- Open the file named "Ten42-Sample1-File.T42" by selecting "File" followed by "Open." - To Examine or Change a Recipient Record, double click on any row (or the recipient's name). Press Escape or Cancel to close the data entry screen.
Note: All fields shown in RED may be Double Clicked to view a list of available IRS codes or Tax Rates.
To Add a 1042-S Payee
- From the main menu click 'Add F3' and select 'Add a Payee Record F3' from the drop-down menu or press the F3 key on your keyboard. This will open the 1042-S form. Enter all required information and then hit the 'OK' button to save the record.
- To move around, press Enter, Tab, or use the Mouse. To go back a field, press Shift+Tab.
- To Void a Payee Record: A row (record) in the grid may be voided by clicking on the Edit menu then Void this Line. Voided records
are never printed or sent to the IRS, but remain in the file for furture reference.
- To Delete a Payee Record, select the Add F3 menu and select Delete a Payee Record from the drop-down menu or hit Ctl+Del on your keyboard.
- After typing each recipient, press ALT+"O" or click OK.
- Press the F3 key each time to add another recipient.
- Click File/SaveAs to save the file to your PC. Choose a file name (Exapmle: JonesCo1042-20YY) to indicate the Company's file. Later, click File/Save after each 5 or 10 recipients entered in the grid. - Certain fields within the 1042-S data entry screen necessitate a numerical code. These codes can be accessed by double-clicking within the respective field.
A small, windowed list containing the appropriate codes for that specific field will then appear. To view all available options, simply double-click the field.
- Fields that require a numerical code are highlighted in red. For instance, double-clicking on Box 1 will display a table of all valid income codes. The list window can be expanded, enlarged, or maximized for better visibility. - To input the Withholding Agent information, click the "Withholding Agent" button located in the top left corner of the program's grid or select "Filer (Company) Information" from the "Options" dropdown menu. This step should be completed before saving and closing the file. Please note that company or Withholding Agent information is entered only once.
- Some boxes in the Filer Window can be double-clicked to display a table of values.
- Upon accurately entering the withholding agent and all payee information, the recipient copies must be printed on blank white paper. As per the Instructions, these copies are due by March 15th of the following year. To learn how to print the 1042-S forms for recipients on plain paper see Printing Recipient Copies.
- To submit the forms to the IRS, click the Transmitter Button (or select "Transmitter's (Submitter's) Information" from the Options dropdown menu) to enter the TCC (Transmitter Control Code Information) beginning with "22." For information on obtaining a TCC, please refer to the relevant section: Obtaining a TCC. Once the TCC is entered, file the forms to the IRS using the FIRE System before March 15th.
