Printing on Plain Paper
1042-S IRS Copy
- 1042-S Express is approved by the IRS for creating Copy A on blank letter size paper. Paper Filing can be done within the program, but please take note that the IRS has a paper filing limit. An Issuer can submit 10 forms or less on paper.
- If the Issuer is to file more than 10 forms, the issuer will be required to submit their forms electronically.
- If the Issuer is eligible to file their forms on paper, please be sure to complete the 1042-T (Transmittal) for submission.
Users will need to read through the instructions provided for the 1042-T.
1042-S Recipient Copies
- Copies for recipients are also created on blank letter size paper.
- Unlike 1099 substitute forms, the IRS requirements for 1042-S are as follows:
- "A substitute Form 1042-S that is furnished to a recipient (Copy B, C, or D) must conform in format and size to the official IRS form."
- Users must print a minimum of two full pages for each recipient, being:
-Copy B, for recipients records, and Copy C, for for recipients Federal tax return.
-Copy D for recipients state tax return, if required.
General
- To print recipient copies: open your source file. Payees should be visible in the grid. 1042-S Express will always prompt a warning about how many pages will
be printed before printing begins. - To print just one form: Remember that person's line number, for example line 22. Click the File - Print Create Laser Forms menu (or click the Printer Icon
on the speed bar). The Page Setup dialog box will appear. Click OK at the bottom left. The Printer Selection Screen will appear. Select the correct printer, if necessary.
Under "Pages" type in 22-22. Then click print. - To print a range of forms: Same as above, except under "Pages" type a range like 22-34.
- To print all payee/recipient forms: Same as above, except under "Pages" click the "ALL" radio button.
- Window Envelopes: The first option on Page Setup prints recipient Copies B, C and mailing labels for window envelopes. Z Fold the letter size paper in 3
equal parts, so the mailing labels show through the No. 9 window envelopes. - Other envelopes: The mailing labels on the bottom of the page can be moved to almost any location on the page to fit almost any normal sized window
envelopes (such as No. 10 single window). Similarly the legend "Important Tax Return Document Enclosed" can be moved to any reasonable location to show
through the upper or lower window, thus avoiding printing special envelopes. - To move labels: At the Page Setup dialog, click the Advanced tab. Set the top and left position (in inches) for the "To Address", the "Return Address" and
the "Legend". For Top, larger is down, smaller is up. For left, larger is right, smaller is left. Print a "Preview" or test page to see if the labels
match your windows. The default settings are shown below:
