Building an IRS File


Building an IRS File (Single File)

◦ This method requires that your file be opened and populated within the 1099 Express program's Grid. If the file is not opened already select the 'File' tab on the top left, then select the 'Open' or 'Re-Open' options from the drop-down list.

◦ Once the File is ready, please enter your Transmitter Control Code (TCC) information within the Transmitter Data Entry window. This window is accessible by clicking the Transmitter button on the very bottom left of the 1099 Express Program or from the 'Options' tab on the top select TCC Holder Information. After filling out all required information, click OK and save your file.

◦ After all information has been saved, return to the 'Options' tab and select 'Build IRS File - This File' to build the IRS text file required for reporting. Make sure to use a file name that is pertinent to you and ends with "IRS1.txt" when saving the IRS file. If file extensions are not showing (Ex. '.txt' or '.SRC'), please check Eable File Extensions to enable this feature.

◦ All files will default to the 'Documents/1099Express/E20XX/IRSFILES folder (unless changed in the TCC Holder Information Window). When creating this file there may be errors that occur such as: "missing company information", "missing TCC holder information", "missing account numbers", or "missing SSNs". 1099Express will not allow a file to be sent with errors to the IRS, please make sure to correct any errors that occur during this process. After all errors are corrected, the source file will need to be saved before proceeding. If it says "Save File First" click the 'File' tab or click the 'Save' button. Repeat the process above.

◦ After the IRS1.Txt file is created, a window will populate asking if the file will need to be compressed into a Zip File. It is not reccomended to compress your file to a Zip file, however (if internet speeds are slow), zipping the file would help with the future upload. This creates another file with the '.zip' extension.
◦ Once your File is created and saved, proceed to upload your file to the IRS.
